The Movement Centre of Manitoba is a privately funded registered charity and the only one of its kind in Manitoba that specializes in conductive education rehabilitation and therapy for children and adults living with neuromotor disorders. We have an opening for a positive, driven, authentic professional to join our team as our Administrative Assistant. This individual will take ownership of the role and make it their own. Hours: Full time ? 40 hours/week: Monday to Friday, 8:30AM ? 4:30PM. Closing Date: Sunday, March 3, 2024 Job Overview Reporting to the Executive Director, the Administrative Assistant will use their working knowledge of software applications, word processing, bookkeeping, professional writing, and administrative experience and knowledge to support the team and clients at the Movement Centre of Manitoba. The Administrative Assistant must be mature, dependable, willing to learn, flexible and adaptable, and must be capable of maintaining composure and efficiency in a high energy, fast-paced environment. Responsibilities: - Greet visitors and clients to the Centre, respond to all in-person, phone, and email inquiries - Open, sort, and distribute correspondence, manage general Movement Centre email - Perform clerical duties such as filing, typing, copying, binding, scanning etc. - Ensure efficient operation of office; manage and maintain the filing system, assist in maintaining office equipment, maintain office cleanliness, assist in the development, innovation and maintenance of administrative, filing, and bookkeeping systems and operations manuals and initiatives - Schedule and coordinate meetings and appointments: set up meeting rooms as needed - Demonstrate flexibility and respond positively and quickly to the changing demands of the job. - Provide daily bookkeeping tasks, including bank deposits, preparation and monitoring of invoices and billing, account reconciliations - Assist executive director with budget oversight, and vendor and accounts management - Provide fundraising and event support, create and manage online fundraising pages - Prepare and submit grant applications Qualifications - Hold a post-secondary degree or diploma from a recognized business administration program, and/or have equivalent relevant work experience - Minimum of 2 years? experience in an administrative role - Minimum of 2 years? experience in bookkeeping; QuickBooks knowledge preferred Skills - Strong technical skills; proven ability to quickly learn and be comfortable with new software - Proficient in all office-related software, including Microsoft applications (Word, Excel, Outlook, and PowerPoint), Adobe Acrobat, etc. - Accurate typing speed of 55 WPM - Ability to work with minimal supervision, take initiative; self-motivated - Exceptional organizational skills; competency in assessing priorities and managing a variety of activities in a time-sensitive environment with attention to detail and quality Show more Show less
